Visa needed?


Malaysian Nationals don't need a visa for a stay shorter than 90 days.

All the information concerning visa applications for Belgium is available on Belgian Immigration Office website, which is the competent authority for access to the territory, stay, residence and removal of foreigners in Belgium.


Introduction of the visa application


If you need a visa and you have collected all the required documents and a completed application form, please contact the Embassy to make an appointment for your application submission.

Visa applications are only on Monday, Tuesday and Thursday from 9am - 12pm and by appointment only.

Applications should be made IN PERSON at the embassy or consulate in whose jurisdiction you reside. If the applicant cannot apply in person, he/she should contact the appropriate Schengen Embassy or Consulate for further instructions.

Please note that visas will not be delivered on the same day as application is made. Schengen agreement specifies that visa application must be made at least 3 weeks before the departure date.


Handling fee


The price of a visa varies and is depending on the type. For a complete overview please consult the consular fees.

The exchange rate is determined by the officials in Belgium and may fluctuate.


Visa for short stay (less than 90 days)


The Embassy of Belgium in Malaysia handles Schengen visa applications to travel to Belgium, Luxemburg and Slovenia. Please be aware that the application has to be lodged with the Schengen representation of the country of your main destination. For tourists visiting several countries, it is the country where most of your time is spent. If you spend equal time in several Schengen states you are required to apply for the visa at the representation of the country where you enter the Schengen area.
 

Who


Malaysian citizens and Bruneian citizens are exempted from applying for this visa. These nationals are allowed to stay in the Schengen zone for a maximum of 90 days, each period of 180 days.

When


A visa C application can be submitted up to 6 months in advance, you should apply at least 3 weeks before your trip starts.
 

What


A Schengen visa allows you to travel to all the Schengen countries. 

If a visa application has been approved, the visa will be issued based on the documents you have submitted. If you wish to extend your stay or if you have postponed your trip, a new application needs to be done. 
 

How


First you need to complete your visa application form, then you will need to come to the Embassy with the relevant checklist and all documents in the order of the checklist at your scheduled appointment time. Please come to the Embassy 15 minutes early as you will need to register for a visitor pass at the entrance of the building.

You will need to make a personal appearance if you are 6 years and above. Your fingerprints (as from 12 years of age) and facial image (as from 6 years of age) will be captured and stored in the VIS-database for 5 years. For more information on this Visa Information System, click here.

Lodging your visa application will take approximately 20 minutes. If at the time of your application your file is incomplete, you will need to book a new appointment. 
 


Visa for long stay (more than 90 days)


The Embassy of Belgium in Malaysia handles long stay visa applications to Belgium. For long stay applications to Luxemburg, an original letter from the authorities in Luxemburg is necessary; for more information you can consult the website of the Government of Luxembourg

Who


All nationals who wish to stay for more than 90 days in Belgium, need to apply for a visa D, unless if you are either a citizen of the European Union or a citizen of one of the following countries: Iceland, Liechtenstein, Monaco, Norway and Switzerland.
 

When


Applications have to be done in person, we encourage you to come as soon as possible to lodge your application. Depending on your personal situation timings may vary. We suggest you to do the submission at least 1 month before your intended departure date.

For some visa applications the Embassy is required to transfer the file to the Immigration Office in Belgium. Decisions can take longer and timings are unpredictable. To check timings, you can visit their website, the info is only available in Dutch or French. Please check the website of the Immigration Office for more information.
 

What


A Visa D allows you to travel to Belgium. Once you have arrived you will need to register with the commune where you are living to obtain a residence permit.

The Visa D also allows you to travel to other Schengen countries for a maximum of 3 months in a 6 month period of time.
 

How

You will need to make a personal appearance to submit the visa application. Minors who wish to accompany their parents for a long stay will also need to appear personally, regardless of their age.

Lodging your visa application will take approximately 20 minutes. If at the time of your application your file is incomplete, you will need to book a new appointment. 

From 1st of December 2018 your fingerprints and facial image (as from 6 years of age) will be captured and stored in a national database for 10 years.

Before submitting your application you will need to have paid the administrative fee or show that you qualify for exemption.  Without this document, the visa application cannot be accepted. Please check the website of the Immigration Office for more information. 

Use the language form to choose the language in which you would like to be informed about the decision in your visa application.

If documents are issued by a foreign authority, it is likely that a legalization is needed. 

For documents issued in Malaysia for example: Extract of birth/marriage certificate,… a legalization by the Ministry of Foreign Affairs is necessary. Further legalization by the Belgian consular post is required. Also check our legalisation page.

For documents issued in Belgium or the EU, an extra legalization is usually not necessary.

For documents issued outside the EU, a legalization is required. This can either be a legalization or an Apostille. To verify you can contact the relevant embassy of Belgium in the country where the document was issued. Or you can check the website of the Ministry of Foreign Affairs in Belgium.

The legalization need to be issued less than 6 months ago and documents that are not in French, Dutch, German or English need to be translated by a translator recognised by the Embassy. Translations must then be legalized by the Embassy. Fees apply. The list of the recognised translators can be consulted on the Immigration Office website

Register your arrival


When you are issued a visa D, you will have to register with the administration of the commune/municipality where you will be residing in Belgium. This needs to be done within 8 days of your arrival in Belgium; to apply for a residence permit. 
 

Willingness to integrate in Belgian society - New general condition of stay from 25.01.2017


The efforts towards integration in Belgian society by a foreigner who is admitted to or permitted to a stay of more than 3 months in Belgium will henceforth be verified by the Immigration Office (FPS Interior)

Guarantor


If you wish to invite somebody to Belgium, and you wish to be financially responsible, you must sign a pledge of financial support. You can obtain this document at the town hall where you are registered.

If you are registered with an Embassy abroad, you can obtain this document at the visa section.

Be aware: only the original document is valid. This must always be submitted at the time of the request for visa.

Important note

You have been issued an entry visa for the territory of the Schengen States (1).

This visa does not give you, however, an absolute guarantee that you will be allowed to enter the territory of these States.

The authorities involved in border control will check in particular:

  • if you are in possession of a valid document authorising you to cross the border and if this document is accompanied by the requisite visa;
  • if you have not exceeded the maximum duration of authorised stay in the territory of the Schengen States, i.e. three months per six-month period (2);
  • your point of departure and your destination as well as the purpose of the stay and if necessary, the corresponding supporting documents.

Therefore, please keep the following documents to hand for each presentation at border crossing points:

  • your travel document bearing a valid visa;
  • the documentation justifying the purpose and conditions of your stay in the territory of the Schengen States (letter of invitation, hotel reservation, staying with a host);
  • the documents justifying sufficient means of subsistence for the duration and the purpose of the intended stay (cash, travellers' cheques, credit cards, declarations of sponsorship).

Entry to the territories of the Schengen States shall be refused:

  • if you are not in possession of a valid travel document;
  • if you have no valid visa;
  • if you cannot produce the documents justifying the purpose and conditions of your stay;
  • if you cannot produce the documents justifying that you have sufficient means of subsistence in relation to the duration and form of intended stay;
  • if you have already stayed three months during a six-month period on the territory of the Schengen States.

Refusal and possibility of appeal


In certain cases, after consultation, the Immigration Service rejects the visa application. In certain cases it is sufficient to reintroduce a new file with additional information and/ or the missing documents.

The decision to reject a visa application may be contested before the Conseil du Contentieux des étrangers/Raad voor Vreemdelingenbetwistingen (art. 39/2 §2 and art. 39/82 of the law of 15 December 1980 on the entry, residence, settlement and expulsion of foreign nationals) by lodging (registered post) an appeal to have the decision suspended and/or annulled.

The action must be brought within 30 days of the contested decision being announced.
